    In a survey of 302 medical practice leaders, 59% reported receiving more than 301 inbound calls per business day, 64% reported using a fax platform that was not integrated with the EHR, and one-third said they missed at least 11% of calls at peak periods. These operational gaps often create referral leakage, where referred patients never reach a scheduled appointment and the opportunity goes unmeasured.

    This session provides a framework for evaluating the referral pipeline from intake and insurance verification through records retrieval, patient engagement, triage, and scheduling. Attendees will learn how to calculate referral leakage, which frequently goes uncounted yet can represent one of the largest opportunities for improvement; separate recovered referral revenue from labor redeployment; and identify which pipeline stage to automate first.

    The session also examines the trade-off between scheduling patients immediately and confirming records readiness before booking. When records readiness takes days of manual work, practices must choose between speed and preparedness. When that work is compressed to hours, both can become available at once.
